When several people operate shared machinery, the next operator needs a clear picture of the machine’s status. A short assignment and handover record helps the cooperative keep that information consistent. It should accompany the relevant manuals and practical training arrangements.
Record the assignment clearly
Identify the tractor, attached equipment, operator and authorised job. Include the planned location and the person responsible for the work request. A change of task or implement should be recorded rather than passed on as an informal assumption.
Keep operator competence and training records within the cooperative’s appropriate private process. A name on the assignment sheet does not prove that the person is trained for every machine or attachment.
Use a handover checklist
- Machine identity and operating-hour reading.
- Work completed since the previous handover.
- Observations or defects requiring attention.
- Service or inspection actions actually completed.
- Outstanding questions and the person responsible for resolving them.
Describe observations in plain language. Operators should not have to invent a component diagnosis to report a concern. Matters affecting safe operation should be referred to a qualified person through the agreed process.
Review recurring gaps
Check whether records are missing after particular jobs or shift changes. Simplify the form where unnecessary fields discourage use, while preserving the information needed to identify the machine and its condition.
For example, if an attachment moves between tractors, record each pairing and the applicable instructions. This avoids assuming that a previous setup remains valid. Use the completed records when planning support and future equipment enquiries. The record is a coordination tool; it does not replace manufacturer instructions, technical inspection or the cooperative’s own agreements about responsibility and authorised use.
